Overview

CGI U is a year round leadership development program for undergraduate and graduate students. CGI U brings together young leaders and entrepreneurs from around the world to generate innovative solutions to some of the world’s most pressing challenges. Central to the CGI U model is the Commitment to Action: a new, specific, and measurable project that has a tangible impact in at least one of five focus areas: education, environment and climate change, peace and human rights, poverty alleviation, and public health.

This person will oversee and execute speaker relations and related programmatic processes for the CGI U platform, working closely with the Deputy Director of Programs to identify priorities for speaker research and outreach, and coordinate session logistics for the CGI U annual meeting and aspects of the year round program, including the Commitment to Action curriculum and related events. Speakers consist of session moderators, panelists, remark-makers, webinar presenters, and represent a wide range of stakeholders in the public, private, non-profit and philanthropic sectors.

A primary function of this role is to recruit speakers for CGI U programming. This will require preparing, extending and tracking all invitations within the timeline outlined in the interdepartmental calendar and keeping all records up-to-date using the BBCRM database. This role will serve as the liaison between speakers and programmatic content leads to confirm speakers’ participation and to prepare them for their on-site roles. It will also require extensive interdepartmental coordination and thoughtful communication with colleagues so that everyone is kept in the loop on the status of invites. This individual is also responsible for continual upkeep of the programming content in the master production schedule, briefing documents and spreadsheets, and including the most up-to-date information. This role will generate weekly reports for the team updating colleagues on the status of the program’s development; and will coordinate relevant meeting logistics throughout the year.

This individual will also provide research, data and programmatic support to the CGI U programs team, as well as support broader elements of CGI U, including the Foundation pipeline and serving as a point of contact for CPC, CDI, CCI, and CHMI.

Responsibilities

Manage speaker recruitment process:

  • Includes vetting, extending, and tracking speaker invitations and speaker relationship management
  • Correspond with speakers and internal staff regarding program specific event details and travel logistics; session briefings; and on-site registration and event execution.
  • Input and track all speaker data and session information in the BBCRM database, online forms, the speaker invitation tracker, or other tools and data management systems when necessary.

Provide research, logistical and other programmatic support to the CGI U Programs team as it relates to CGI U’s year round program:

  • Assist with speaker research projects and program memo content and editing processes.
  • Contribute to overall strategy and long-term planning processes for CGI U.
  • Support CGI U’s pilot Foundation Pipeline and collaboration across Foundation teams.
  • Work to create synergies between CGI U and foundation initiatives.

Work crossfunctionally to produce program materials:

  • Manage relationship with Correspondence to produce all speaker invitations and thank you letters.
  • Work with Marketing to determine guidelines for all session specific assets and their delivery.
  • Work closely with Communications to identify and deliver program-specific content for press releases.
  • Work across teams to coordinate launch dates for speaker information on the event website.
  • Additional coordination where needed.

Contribute program updates:

  • Work with the CGI U Deputy Director of Programs, event management team and production team to provide relevant program updates to the master production schedule.
  • Coordinate logistical processes for related year-round program components, and provide updates and relevant data for leadership briefings.

Manage speaker logistics on-site during CGI U official events:

  • Includes delegating on-site roles and responsibilities to additional volunteers or speaker support staff to enhance execution of event and an excellent, high-level experience for speakers.

Qualifications

Education:

  • Minimum Required: Bachelor’s Degree

Work Experience:

  • Minimum Required: 2-4 years

Specialized Knowledge Needed for Performance of Job:

  • Significant project management experience required; familiarity with conference or event management also preferred.

Skills:

  • Ability to multi-task, strong organizational and follow-through skills, and highly detailed-oriented
  • High level of professionalism, excellent oral and written communication skills, effective external communication skills
  • Ability to maintain composure under high pressure situations

Special Skills:

  • Experience working within BBCRM or other relational databases; proficient in Excel, PowerPoint, Microsoft Office and other workplan software.

Other:

  • Foreign language skills a plus but not required
  • Ability to work in a varying schedule including nights, early mornings, weekends and holidays.​
  • ​​Ability to travel domestically and internationally, and work on multiple time zones, as necessary.​ ​​ ​

Physical and Other Requirements

  • Office Environment: Constant computer work requiring repetitive motion, prolonged sitting and sustained visual/mental demands. Occasional lifting, bending, pulling, collating, and filing, some of which may be heavy (>15 lbs.) and require use of carts.
  • Travel Environment: Occasional long-distance travel (sometimes to developing countries) which may require walking distances, lifting and carrying luggage and boxes (>25 lbs.) or prolonged periods of sitting in tight quarters.
