The opportunity

This role will provide team leadership and professional PA support to members of UK&I Sales & Marketing Leadership team. You will be required to manage a team of PA’s and provide input and support for a variety of activities, often working on highly confidential matters and to tight deadlines.

Proactivity, flexibility and the ability to respond to changing situations is imperative. Teamwork, excellent time management skills and an eye for detail is essential to be successful in the role. Periodically there will be a need to be available for early morning and/or late evening meetings or client engagements.

Your day-to-day responsibilities include:

  • Have line management responsibility for a team of PA’s:
    • appraisals and performance management
    • career development and training
    • work allocation ensuring there is a balanced workload across the team
    • regular 1:1’s and team meetings
    • motivate the team to deliver a high level of service to all stakeholders
    • quarterly service review meetings with stakeholders
  • Diary Management – coordinate internal and external meetings ensuring they run smoothly. Understand high and low priorities and manage these accordingly, ensuring the most effective use of the stakeholders time including the ‘building in’ of travel and desk time. To include all room/off-site bookings, travel arrangements and hospitality as required.
  • Travel Arrangements – arrange and book all travel for business meetings
  • Meetings – attend meetings where requested. Support agenda management, take and distribute minutes, manage agreed actions, presentation material, reports, printing of documents as required.
  • Access stakeholders email accounts to schedule their appointments and answer or redirect routine enquiries from internal or external sources where requested.
  • New joiners – support the induction process for all new joiners including but not limited to equipment, meetings and training. Share guidance documentation where available to support self-learning
  • Handle confidential information and maintain the security of the UK&I S&M LT members data
  • Raise purchase orders and monitor through the approval process to completion
  • Plan, organise, and schedule own workload to ensure all activities are completed accurately and on time
  • Ensure smooth communication between the S&M leadership team and the wider team/business
  • Work collaboratively across the PA community to ensure the team works together to generate ‘win-win’ outcomes
  • HR administration; to included but not limited to changes of terms & conditions, change of cost centre/line manager, leavers, probation reviews
  • Ensure that confidentiality is maintained at all times
  • Performs other administrative tasks as required using independent judgement and discretion.
  • Ability to work remotely; some travel required
  • To share best practice and learning across the wider PA networks in Atos

Skills we can’t do without:

  • Experience of working in a blue chip, multi-national company within a matrix structure
  • Proven track record of providing PA support at Director or Vice President level and operating effectively within a team of PA’s
  • Experience of managing a team of at least 3 people including appraisals, performance management, career development and workload planning and allocation
  • Excellent written and verbal communication skills
  • Excellent organisational, planning and prioritisation skills
  • Assertive and resilient
  • High attention to detail and accuracy
  • Ability to effectively manage multiple tasks simultaneously
  • Independent, proactive thinker who uses own initiative and demonstrates a can do positive attitude
  • Excellent networking and influencing skills, and ability to engage relevant staff and leaders in developing solutions
  • Flexibility to think beyond boundaries of own job, challenge status quo and seek opportunities for continuous improvement
  • Experience of working in an information-sensitive environment
  • A willingness to deal with urgent, last minute changes in schedules or plans
  • Commitment to deliver results
  • A high level of expertise and proficiency in MS office and the ability to effectively use on-line HR, accounting and travel systems
  • Consistently professional in both manner and appearance
  • Strong Team player
