Carta is looking for an experienced Executive Assistant to be the right hand to two of our executives - Head of Legal & Compliance and Head of Operations. You’ll be responsible for creating the most possible leverage for each of them on a day-to-day basis. It will be imperative that this individual anticipate and solve problems to support both executives in a fast-paced, ever-changing environment.
The role:
- Managing, organizing, and ultimately being the gatekeeper to very complex and demanding calendars. Ability to anticipate and resolve conflicting priorities.
- Keeping your exec on time from meeting to meeting, as well as be able to pull him/her as needed for specific ad-hoc requests that arise in the moment (day of).
- Fielding internal and external scheduling requests with the ability to recognize competing priorities and schedule accordingly.
- Frequently work and collaborate with the EA to the CEO and the greater executive support team.
- Plan and coordinate travel and proactively adjust (e.g., track flight status and modify based on changes) - air & ground transportation, hotel reservations, and itineraries.
- Plan and coordinate internal off-sites and team meetings/events.
- Help your execs to ensure the right people are in the meetings - requires that you understand the mechanics of how our business units at Carta operate - know who is responsible for what, which teams are in which office, who our execs and senior managers are.
- Be an advisor to your execs on how to organize the use of his/her time.
- Occasionally travel to remote offices with your execs.
- Very occasionally be available for off-hours in the earlier AM/later PM for support surrounding travel, board meetings, special projects.
- Develop strong relationships both internally with other execs and peers, as well as externally with clients, board members.
- Working on special projects, presentations, and metrics for meetings and events.
- Be a proxy for your execs & their orgs (e.g., expense report submissions, approvals of direct report submissions, PTO submission and approvals)
About you:
- Able to accomplish tasks with a fair amount of autonomy.
- Maintains absolute confidentiality around all company information.
- Proactive and a self-starter in identifying needs, conflicts, projects - along with the ability to make well thought out decisions in executing resolutions to them.
- Reliable and responsive in all matters and requests.
- Extremely organized with a strong sense of attention to detail.
- Takes action versus analyzing in decision making, but never afraid to ask for help or clarification.
- Excellent communications skills - clear & concise.
- Utilizes applications such as GSuite (docs, sheets, calendar), Zoom (video conferencing), Slack, TripActions, Expensify, Apple Keynote, Microsoft Office (Word, Excel).
- Adaptable and flexible for a fast paced and changing environment.
- 3 - 5 years of experience in a similar role a must; 5+ preferred.
- Possesses a basic understanding of accounting/finance also a strong plus.
