In addition to equity real estate, Manulife Real Estate manages the space requirements and own use facilities for Manulife’s operations around the world.

As the Property Administrator you will be responsible for answering all incoming calls, ensuring customer service is a top priority at all times, transmitting the various requests via the work order system (Building Engines), or alternatively, interpreting to whom the caller/writer should be forwarded in order to provide optimal service. In addition, you will be accountable for providing administrative support and reception as required.

Responsibilities

  • Provide administrative support including word processing, filing, copying, faxing, maintaining records, communication for staff/tenants, phones for the Property Management Office.
  • Manage tenant calls and dispatch requests via Building Engines system, follow up on requests for service and distribute to appropriate area for handling.
  • Coordinate and attend all tenant meetings including minute taking and distribution.
  • Coordination of Conference Centre bookings, room setup, and event support.
  • Coordination of Fitness Centre access, program management and facility coordination.
  • Coordination seasonal marketing initiatives and tenant communications.
  • Assist Property Manager with all tenant move in and move out activity.
  • Maintain/update all tenant and vendor contact information.
  • Assist with creating of new building filing system, tenant records, manuals and tenant database for addresses and contacts.
  • Set-up Purchase Orders in Yardi and co-ordinate coding and payment of invoices. Reconcile outstanding statements received from suppliers.
  • Assist accounting team with timely submission of Accounts Payable and Accounts Receivable batches to Head Office.
  • Order office supplies, maintain office equipment and ensure the efficient operation of the office.

Qualifications

  • Post-secondary education preferred, in Finance, Accounting or Real Estate management.
  • 5 years experience in a similar capacity in the Real Estate industry.
  • Experience in the use of Yardi systems.
  • Proficient computer skills. Microsoft Office – Word, Excel.
  • Accurate typing speed.
  • Understanding in Real Estate accounting concepts.
  • Excellent customer service skills with ability to deal with tenant needs.
  • Proven organizational skills; able to cope with changing tenant needs and deliver successful results within agreed upon time frames.
  • Good verbal and written communication skills.
  • Ability to multi-task.
  • Detail oriented; able to resolve problems using facts and sound reasoning.
  • Self-motivated, professional and flexible; able to work both independently and as part of a team.
  • Good analytical skills with the ability to identify and solve problems.
  • Good time management skills with the ability to adapt to changing priorities.
  • Good influence and communication skills with ability to build and maintain effective relationships.
