This position is available in Ubisoft's Information Systems Department in Montreal, and more specifically within the management team.

Your role has two sides: on one hand, an assistance and support role for the Deputy CIO and the VP Infrastructure & Operations; on the other hand, a role as organiser of local and global events and as facilitator within the IT Department.

Responsibilities :
As such, your missions will be as follows:

Assistant to the Director :

  • Manage the agenda and contacts of the Vice-Presidents and facilitate the organization of certain meetings;
  • Organize the travel of the Vice-Presidents;
  • Prepare the agendas for committee, board and other meetings, and arrange for these meetings, catering and guest hospitality;

Internal events coordinator:

  • Participate in the logistics and organization of seminars, summits and internal conferences of the various IT teams;
  • Communicate with the teams concerned before and after events;
  • Organize high value-added events for IT employees (parties, game launches, meetings, conferences, e-sport tournaments, table football and others);
  • To be the communication relay of the studios for internal events related to the releases of our games;
  • To bring up ideas for improving the working environment of IT employees;
  • To be a force of proposal on all actions of meetings or internal events that can improve the atmosphere and cohesion of the various teams of the IT Department

Qualifications

Formation :

  • High School Diploma, College or Professional required;
  • Certificate or Bachelor's degree in Public Administration, Commerce, Political Science, Communication, Event Management or in a related discipline (asset)

Relevant experience:

  • Between 6 months and 2 years of experience in project coordination or management, including events
  • Experience in an international company

Skills :

For this position, we will be particularly sensitive to:

  • Ability to work independently; to be comfortable with remote management and working in a multicultural and international environment;
  • Rigour and organizational skills that allow you to work on different projects in parallel and prioritize them;
  • Enthusiasm for events and relationships with different types of interlocutors;
  • Ability to work as a team in a constructive and proactive manner;
  • Focused on service, confidentiality and diplomacy;
  • Dynamism and resourcefulness: appreciate taking initiatives and proposing new ideas;
  • Excellent written and oral communication skills; fluent English is mandatory.

Knowledge:

  • Good knowledge of the Office suite (Outlook, PowerPoint, Excel);
  • Excellent knowledge and interest in communication and collaboration tools.
