Overview

The Program Coordinator will report to the Director of Patient Reported Data and work closely with the Program Manager of Patient Reported Data. The focus of the Program Coordinator position will be project management and program support. The Coordinator will be responsible for ensuring the success of Patient Reported Data solution development through each project phase, maintaining documentation of project milestones, and communicating project updates to program leadership. The Program Coordinator will also assist program leadership in sustaining a transparent, inclusive program structure by preparing communications, maintaining a web presence (both internally and externally), and managing program calendars.

The position is currently funded for one year; renewal is anticipated depending on conditions at expiration.

Dana-Farber Cancer Institute launched the Patient Reported Data (PRD) Program in 2016 to govern appropriate content, implementation and analysis of patient reported data. Patient Reported Data is defined as “any report of the status of a patient’s health condition that comes directly from the patient, without interpretation of the patient’s response by a clinician or anyone else.” There is growing evidence supporting the use of patient reported data to improve processes of care and health services outcomes. Leveraging established survival benefits of direct patient report, we have begun to implement electronic collection of patient reported data at clinic visits across Dana-Farber Cancer Institute, increasing collection rates from <10% (patient portal) to nearly 70% for new patients (via mobile tablets), bypassing barriers of low patient portal enrollment (<40%) or lack of computer access (20%).

Over the next 3 years, the Department of Informatics & Analytics, under the guidance of the Patient Reported Data Advisory committee and in collaboration with Clinical Informatics, Clinical Operations, and Quality/Patient Safety, will further develop and expand the program. This will include expanding the use of patient reported data across all institute floors and practice sites, developing unique tools that are customized to each patient’s specific cancer/treatment, and demonstrating the impact/value of patient reported data for cancer care delivery and research. The roadmap includes refinement of current Patient Reported Data projects, oversight of new projects, and coordination of tablet/mobile device management. This is a significant initiative within Dana-Farber, requiring coordination across multiple clinical, operations and research departments, as well as Partners HealthCare Information Systems (IS).

Responsibilities

Program Coordination

  • Drives project execution activities from the initiation phase through post-live support
  • Meets regularly with project teams to ensure milestones are met, stakeholders are informed, teams are aligned, priorities are clear
  • Maintains documentation of project activities using Dana-Farber team collaboration tools
  • Presents project updates regularly to Patient Reported Data program leadership
  • Follows Dana-Farber Project Management Office (PMO) project management methodologies
  • Fosters an environment of trust, collaboration, and accountability across both project and departmental teams

Working Conditions

  • Office environment with travel to patient care areas; limited patient contact.
  • Must be able to provide adequate transportation between work locations when needed

Qualifications

  • B.S./B.A. required
  • 2-3 years project-based experience required; preferably in a healthcare, life sciences or academic setting
  • As projects and priorities dictate, must be available/flexible to work non-standard hours such as evenings, nights, weekends and holidays
  • Knowledge of clinical informatics, information systems, and hospital operations a significant plus
  • Experience in large information systems integration, implementation and management a significant plus
  • Demonstrable experience in project management involving multiple resources and phases
  • Proven experience in managing project resources in a matrix environment
  • Experience with multi-facility integration preferred
