Summary Provides support to the organization by managing the multiple floor offices to ensure a clean, organized, and efficient work space for the HQ team. Oversees incoming guests, visitor access and package delivery. Administers the purchasing policy, maintains the PO system and coordinates purchasing activities as necessary.
Essential Job Functions
- Oversight of office logistics with the assistance of building maintenance, property management, building security and parking management
- Performs administrative functions to support daily office operations including ordering supplies and managing supply inventory
- Select, develop and maintain vendor relations for office maintenance, office supplies, including breakroom supplies
- Maintain Vendor Master Database in the Netsuite ERP
- Provide assistance to purchase initiators on supplier research and evaluation, including assistance on supplier negotiations as necessary
- Administer the purchasing policy for adherence to policy requirements, including maintaining the system for purchase orders and data leases
- Monitor purchases through delivery and work closely with accounting on expense and invoice reconciliation and approvals
- Assist purchase initiators with bid processes in alignment with purchasing policy requirements
- Handle incoming company voicemail, receiving and distributing postal mail, FedEx packages and visitors to the office
- Assist with dissemination of all company communications including maintaining local corp office comms postings
- Analyze data, develop solutions to issues and apply previous lessons to future work
- Expected to be a self-starter, require minimal supervision and streamline and improve processes whenever possible
- Organize and prioritize office tasks to fulfill all administrative requirements
- Other duties and projects as assigned
Job Rquirements
- High School Diploma or equivalent required, bachelor’s degree preferred
- Minimum of three (3) years of related office administration experience
- At least two (2) years purchasing administration experience
- Experience managing across multiple departments and functional levels in a fast-paced environment
Knowledge/Skills/Abilities
- Requires professional communication to vendors, clients, employees, guests
- Ability to effectively communicate issues and potential resolutions face to face and in writing
- Must exhibit positive, professional demeanor in all communications and must be able to introduce differing communication strategies as warranted
- Advanced knowledge and skill in MS Office Suite, especially Word and Excel
- Excellent written communication skills
- Experience with purchase order software or equivalent database software
- Ability to multi-task and effectively manage competing priorities and workload
- Demonstrated flexible and efficient time management
- Demonstrated attention to detail
- Ability to maintain confidentiality
- Ability to work in a team environment and independently, as necessary
- Travel is not required
