Bid & Project Support Officer

Location: London – Endeavour Square

This is an exciting opportunity to join our Thales’ Ground Transportation Systems (GTS) business unit as a Bid & Project Support Officer based in London, Endeavour Square. In this exciting and varied role you will be undertaking project management activities in support of the Project Management Team for a specific project to ensure its delivered successfully. It requires professional project management capabilities to be applied, giving rigour to change control, commercial awareness and stakeholder management under the direction of more senior Project Management. The role provides a comprehensive and effective support service to bid and project management teams and helps to ensure that all aspects of project governance are in place.

Key responsibilities and tasks:

  • Provide practical support to the production of dashboards, reports and data in advance of reviews.
  • Ensure the accuracy of bid / project data and provide summarised information for consideration and analysis.
  • Facilitate the effective and efficient operation of bid / project-specific meetings (for example; arranging meetings, preparation/collation of the relevant presentation material, coordinating input from attendees and producing information packs, the production and distribution of agendas, minutes, action registers)
  • Coordinate and assist in the progress of documentation and configurable items, ensuring all stages of the process have been adhered to.
  • Manage, track and check documentation through the life-cycle, inputting data and information into the reporting cycle, as well as providing document management guidance and support to stakeholders.
  • Provide practical support to the design and implementation of a document management system and product register.
  • The role will also involve occasional ad-hoc duties that are not listed above but are necessary to respond to the needs of the business. These ad-hoc duties will be consistent with the nature of a Bid and Project Support position within Thales.

Skills, Experience and Qualifications:

  • Proficient in Microsoft Office applications, such as Word, Excel, Outlook, PowerPoint and Visio
  • Accuracy of reporting and the ability to present data in a clear, summarised fashion at a level appropriate to the needs of the particular task
  • A positive attitude combined with excellent interpersonal skills
  • Attention to detail
  • Awareness of bid and project management phases and life-cycles
  • Business and commercial awareness
  • Good communication skills at all levels
  • The ability to manage conflicting deadlines and priorities
  • The ability to be flexible and provide a helpful, positive approach to the requirements of the role.
  • Experience of providing practical support to bid / project management teams in a Project Management Office context for a multi-departmental, matrix-style organisation.
  • This experience should lead to a demonstrable knowledge of the typical support requirements of a Project Management Office service (for example; project control, risk management, planning, earned value management, project reviews, stakeholder management).
  • Educated to a minimum of A level standard in subjects with clear relevance to the project support requirements.
