Summary of Role:
A dynamic, fast paced role providing first class 1:1 administrative support to the CEO of Raytheon UK. This is a key influential role in the business; you will act as an ambassador to the CEO’s office, providing a highly professional, efficient, yet personable service to all levels of seniority. To complement your exceptional organisational skills, you will work closely with the CEO’s senior leadership team and his Chief Operating Officer (COO), being the glue to keeping the team well informed and organised. You will create an inclusive positive culture for the PA team to work within, setting the bar for them to follow.
Main Duties:
. Diary management; proactively organise the CEO’s extremely busy diary where meetings change constantly and need to be aligned with various business partners across multiple geographies & timezones. Continually seek ways to streamline the way we work, ensuring that meetings are value-add and well prepared for. Maintain an effective system to ensure CEO has relevant documents & reports in a timely manner for all meetings, especially when remote. Key POC; act as an ambassador for the CEO’s office with professionalism, confidentiality and discretion - filtering requests, channelling communications, partnering with Raytheon UK/US and external customers, aligning the LT.
. Be the eyes and ears, positively influence when necessary, create calm and composure in difficult situations. Work closely with other Executive Assistants, partner with the PA team lead and ; build effective partnerships, share best practices, encourage consistent key messaging across sites cascading information as necessary, provide PTO cover, embrace & champion new innovative ideas, attend regular PA meetings. Board liaison; vital to establish strong relationship w/ Chairman’s office for board coordination - organising meetings, packs, prep calls, communication, NED reviews etc. Inbox management; continually check CEO’s emails & sent box, proactively respond to queries on his behalf, flag urgent emails, follow up on actions, reply to all invitations, create system to ensure deadlines are always met and information brought forward when needed.

Partner closely with COO build strong effective relationship, for any projects the CEO assigns to the Staff Exec offer organisational help for admin tasks to best support workload (eg booking rooms, coordinating meetings, organising travel, typing up documents etc). Organise offsite meetings; source new venues, hotels, restaurants, create agendas, pull together data/presentations, organise travel/logistics, security,
. General office duties; order stationery, catering, site access requests, invoice processing, arranging travel adhering to company policy.
. Submit expenses in a timely manner.
. Arrange VIP visits; act as key POC with US, organise and oversee every detail from start to finish, communicate clearly with all stakeholders involved.
. Provide admin support; prepare information/reports for meetings, chase down actions, maintain PTO records, manage R-Share site for filing.
Candidate Requirements:
•Proven experience in a similar senior EA role.
•Experienced in complex diary management.
•Excellent communication and organisational skills.
•Advanced user of Microsoft Word, PowerPoint, Excel, Lotus Notes, Outlook, Concur, iPhones, iPads.
•Able to handle multiple tasks.
