Description:

Providence is calling a Senior Executive Assistant (Foundation, Day Shift, 1.0 FTE) to Providence Alaska Medical Center in Anchorage, Alaska. We are a community of caregivers delivering every day on our Mission to provide compassionate care that is accessible for all - especially those who are poor and vulnerable.

In this position you will:

  • Work closely with members of the Foundation Board of Directors and serve as the staff liaison between the president and board chair.
  • Manage board meetings including calendars, agendas, minutes and all related materials.
  • Attend all board meetings.
  • Manage Board conflict of interest, compliance, self-assessment, and other governance related requirements.
  • Utilize Microsoft Outlook, maintains the calendar of the Foundation president using his/her time efficiently.
  • Assure appropriate routing and approval for Department activities, events, travel, or training needs.
  • Be responsible for executing the Accounts Payable process on behalf of the Department.
  • Be responsible for maintaining all Foundation contracts and ensuring compliance with the PHSA contract policy.
  • Be responsible for the timely and secure deposit of all Foundation monies received, as well as accurate and timely receipting to donors per guidelines established in department policy.
  • Provide data entry support within donor database and other databases related to Foundation initiatives.
  • Be responsible for ordering and organizing office supplies and materials inventory needed for efficient Department programs and operations.

Qualifications:

Required qualifications for this position include:

  • High School Diploma or GED
  • 3 years of experience providing executive administration support to a Chief or Vice President level executive
  • 5 years of progressively more complex administrative roles working in health care or non-profits
  • Knowledge of Microsoft Word, Excel, PowerPoint and relational data base software such as Raisers Edge

Preferred qualifications for this position include:

  • Bachelor’s degree
  • Experience supporting a board
  • Project management experience
