In a nutshell:

IDEO Munich is looking for an enthusiastic, motivated and thoughtful Studio Coordinator to join our Experience team.

You will work as part of the Experience Team in delivering an outstanding level of support to the studio, which in turn will drive our fast paced, but extremely positive culture. As a cornerstone of the studio you will be a go-to for all the requests from our broader team, as well as a welcoming IDEO ambassador to clients and employees alike. Working most closely with our Experience Team you will grow to share responsibility for leading our client and employee experience in IDEO Munich.

Studio Coordinators are fundamental to our business, because they help our teams be their best selves - whether that’s through choosing appropriate food and drinks for events, workshops, the setup of the project spaces that cater to that team, or thinking over and above on the visiting arrangements of our clients. We count on our experience specialists to help design teams stay on top of things, show up confident, be ready to take on any conversation, and take part in maintaining client relationships.

Once here you will:

• Covering all aspects of reception; screening phone calls and enquiries, taking daily post and arranging couriers, greeting all visitors.
• Setting up meeting rooms for various meetings and visitors (drinks, snacks etc.)

• You will have responsibility for the upkeep of the front / client facing areas of the studio.
• This includes checking meeting rooms daily, reporting any IT problems to our IT Admin, checking stationary supplies, as well as making sure rooms and the kitchen area are in tip top condition.

• When new employees start you will coordinate with your Talent Director and Experience Lead to make sure they have a great welcome - their desk is setup, on-boarding items and starter packs are arranged.
• You will arrange the weekly shop for the studio, including food and drinks for day-to-day snacks, as well as internal meetings. Weekly events that you will lead the experience on including our Monday Lunch Meeting and Wednesday Inspiration Lunch. Working with the Experience Lead on organising studio events and workshops. Other events that you can also help with include our weekly Happy Hour and leaving drinks, celebrations - basically all kinds of fun stuff that makes our culture unique.

• See the big picture of our organisation while working out the significant details of calendaring, client interactions and internal communication. Your time management and coordination skills will leverage our team to help them do the best work possible. Willingness to “jump in” on things around the office is key because every day is different.

• We will encourage you to think about personal projects that you might like to run in the studio elevating our team’s experience at work. This could focus on anything and everything – previously we have looked at championing studio health, relaxation, design inspiration, food and drinks, guest speakers.... it’s a broad brief but we hope you will bring your passions and interests into the studio to be a contributor to our culture.

Must have experience and mindsets:

• Experience of Front of House/ Concierge and hospitality experience work desired, but we will consider other relevant experience.
• Professional demeanor
• Ability to multi-task and keep track of multiple projects, clients, etc.
• Good communicator -- able to be proactive and ask a lot of questions, while holding your own
• Works well with ambiguity and is able to make decisions even without all the information
• Thinks strategically and is able to prioritise -- a good problem solver
• Flexible and able to handle unforeseen events/requests with ease and cheerfulness
