About the Role

WeWork is currently looking for an Executive Assistant to provide senior level support to the Global Vice President of Sustainability & Impact. This person will be responsible for partnering with the VP to ensure efficient management of time while supporting the vision for the culture of the team. The Executive Assistant will be responsible for calendar management, project based administrative support, and worldwide travel arrangements for this Global VP and a wider team when required.

Responsibilities (including but not limited to):

  • Support the VP, Head of Sustainability & Impact
  • Extensive calendar management
  • Interact via email in professional tone with various stakeholders, investors and all internal employees
  • Work with other assistants to coordinate calendars (team player!)
  • Create presentations, reports and various project-based documents
  • Booking and coordination of extensive international and domestic travel. Creation of detailed travel and city itinerary packets for suitable hospitality arrangements
  • Coordinate meetings at worldwide WeWork offices
  • Managing and submitting all expenses
  • Anticipate needs with minimal direction
  • Follow up with the leadership team, various stakeholders, and other assistants to support driving ongoing work forward
  • Travel for meetings when required

Qualifications:

  • 4+ years of experience supporting an Executive (VP or above) is a must
  • Based in San Francisco, CA (no exceptions)
  • Extensive experience with G Suite, TripActions (or similiar Travel Management platform), Workday (or similar ERP)
  • Ability to use Google Slides/Powerpoint to create and manipulate organization charts and slideshow presentations
  • Global travel management experience and knowledge of international time zones and visa procurement
  • History of working with highly confidential information
  • Must be extremely flexible team player who can support during extensive world travel during different time zones
  • Be available to travel when required
  • Ability to influence and to work cross-functionally in support of team objectives and goals.
  • Results oriented with an ability to operate multiple projects. A self-starter with superior organizational skills.
  • Fluency in English
