Executive Assistant

Capital One is partnering with Walmart, the largest company in the US by revenue, to revolutionize the future of retail for Americans. We are looking for an experienced, innovative, detail-oriented, and resourceful Executive Assistant to support the Senior Vice President (SVP) of a dynamic, fast-paced growing business. In this role, your quick thinking, flexibility, and adaptability will be key to meeting frequently-changing priorities. You will strategically manage your executive’s complex schedule through prioritization and organization. You will autonomously take on new tasks and projects and rely on problem-solving skills to make it all work! You are critical to the success of a well-run, efficient, productive and happy team.

Responsibilities

  • Provide an exceptional standard of support for the executive.
  • Manage the executive’s calendar, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
  • Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences.
  • Coordinate travel arrangements and create expense reports in a timely manner using Capital One systems.
  • Organize key team activities and events (such as all-hands meeting, team meetings, conferences, and social events).
  • Prepare professional business communications including memos, letters, and emails/
  • Partner closely with the executive leadership team, Chief of Staff, other administrative professionals and various internal and external stakeholders.
  • Perform general administrative duties, such as copying, faxing, distributing mail, ad-hoc requests, etc.
  • Promote a fun and team-oriented work environment.
  • Maintain highly-organized confidential files and records.
  • Manage multiple projects, taking on new responsibilities, autonomously providing solutions and assistance and handling novel issues.

Basic Qualifications

  • High School Diploma, GED, Equivalent Certification, or Military Experience
  • At least 4 years of previous administrative support experience
  • Proficiency in Microsoft Office or Google Suite

Preferred Qualifications:

  • Bachelor’s Degree
  • 7+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment
  • 5+ years of calendar management supporting an executive
  • 1+ year of meeting and event planning experience
  • Experience setting up video conference and Zoom technology for meeting users
  • Experience planning ahead and managing time effectively
  • Excellent written and verbal communications
  • Excellent organizational skills
