Role Description
We are looking for a polished, detail-oriented Executive Assistant who thrives in a fast-paced environment. You’ll provide dedicated administrative assistance to the VP of Communications, working closely with the Comms and Brand Marketing leadership and team members who are spread across seven offices around the globe. You will be the go-to resource for the team on processes, procedures, and help escalate urgent matters, all while keeping a good pulse on the organization’s health and morale. If you like to tame chaos while remaining calm and flexible in the face of ever-changing priorities and needs, then this is the role for you!
Responsibilities
- Strategic calendar management in a fast-changing environment
- Arrange complex travel itineraries, leveraging opportunities to engage with internal and external parties
- Event management and execution: Quarterly Leadership Team Offsites, Annual Global Team Offsite, Annual Media Party, Internal talks hosted by VP, Press events, Dinners, miscellaneous speaking engagements, and hosting reporters
- Own the agenda for all LT meetings in conjunction with VP and HRBP
- Discreetly handle confidential and non-routine information on a regular basis
- Prepare monthly expense reports
Requirements
- Bachelor’s Degree
- 3+ years experience in an administrative support role
- Track record of consistently and independently delivering tasks without follow-up from Lead
- Substantial project management experience
- Champion calendaring and prioritization skills
- Ability to move quickly, juggle multiple projects at once, and make quick decisions without sacrificing attention to detail
- Great communication skills and the ability to work effectively with different personalities
- Strong Google Apps/technology skills
- Ability to maintain composure and sense of humor in high-pressure situations
- Passion for Dropbox and helping your lead’s organization as it scales
