Job Description

Talent Acquisition is strategic to Mozilla’s success. We’ve begun a restructuring of how we operate this critical organization, from forecasting, analysis and TA pipeline analytics to the tools, templates and processes that make recruiters and hiring managers more effective and efficient. We are looking for an Operations Manager to drive a portfolio of enhancement projects, maintain communications and employment/career branding efforts on selected media outlets and sites. To support these efforts, you’ll curate appropriate policy and procedures that will make TA a best in class organization. The right person for this role is excited about geeking out on Greenhouse, our ATS, for optimal config and reporting. Has a desire to bring data to life in dashboards, and keep the entire team on track with a practical cadence and activities to keep everyone informed.

This role will dual report to leverage the best in our People team. You will solid-line report to the Senior Director of People Operations, accessing resources and a broader team for your remit. You will have a dotted line, but be the right hand, to the Director of Talent Acquisition in maintaining operations and providing excellence in reporting and TA pipeline analytics. You’ll have a dedicated budget and where appropriate support from both HRIS and vendors to accomplish your mission. Your responsibilities break down into three areas: Improvement projects, reporting, and sustaining operations.

Responsibilities

  • Project Management
    • Develop an Operating framework that assesses critical process, technology and communications required to be best-in-class, identifying hot spots for improvement.
    • Own an annual roadmap of projects that will be invested in and run, along with a backlog of improvement areas that are prioritized at regular intervals.
    • Lead and support cross-functional projects that improvement systems, process and reporting efforts that drive efficiency gains.
  • Reporting
    • Build and sustain, with HRIS and Analytics support, dashboards, reports, and insights that help Business Planners, Finance, People team leadership and Director for TA so informed and timely decisions can be made.
    • When required, create and deliver insightful, data-driven presentations for executive audiences on TA intrinsics.
    • Develop and execute recruiting knowledge sharing processes and procedures, including content management through our internal channels (e.g. TA internal WIKI sites and information).
    • Actively engage business unit leaders, People Partners and Recruiters in driving headcount management efficiency and capacity planning for the Director of TA.
  • Sustaining Operations
    • Maintain and report on technology and process improvement roadmap.
    • Manage external vendors, budget and completion of improvement projects.
    • Ensure social media sites and posting locations are kept up to date by ensuring the effective coordination of and with other team members.
    • Sustain and enhance our Greenhouse implementation, by providing direction and leadership to HRIS staff.
    • Provide insights for People team leaders and managers of Recruiter needs by being fully enmeshed in daily Recruiting team needs.
    • Sustain healthy, positive relationships with various actors across the company, in Finance, Legal, TA, Operations, and business groups, keeping folks focused on achieving hiring targets.
    • Providing mentorship, guidance and career development to members of the team, where appropriate.

Minimum Qualification

  • 7+ years of project management experience with focus on Recruiting, HR or Operations.
  • Experience in driving TA operations efficiency.
  • Strong project management skills.
  • Excellent communications skills.
  • Strong orientation towards technology solutions and a strong desire to become expert on the Greenhouse platform, features and how it will best benefit Mozilla.
  • Excellent modeling skills and development of forecasts; Expert with Excel and GSheet.
  • Experience using MS Office tools (Excel, PowerPoint, Word, Visio or other process mapping software).
  • Experience with business process management, workflow, change management, and life cycle management.
  • Cross-functional communication and interpersonal experience.

Preferred Qualification

  • Experience in high tech global environment.
  • Experience working cross-functionally and holding people accountable for deliverables without a formal reporting structure.
  • Experience working independently with minimum supervision and leading multiple projects simultaneously involving various groups/locations/vendors.
  • Ability to work in a fast-paced environment and deal with ambiguity.
  • Strong understanding of data management and analytics principles.
  • Strong presentation and data summarization skills.
