    The Vaccine and Infectious Disease Division (VIDD) addresses the growing need for treatment and prevention strategies for infectious diseases worldwide. VIDD’s mission is to accelerate knowledge of effective immunity and create innovative approaches that can prevent new infections and treat or cure infection-related diseases. VIDD is comprised of three research programs—Biostatistics, Bioinformatics & Epidemiology (BBE), Immunology & Vaccine Development (IVD), and Infectious Disease Sciences (IDS). The VIDD Program Manager is responsible for providing leadership for assigned activities associated with the successful delivery of a portfolio of programs and projects within the Division. This includes organizing programs/projects; managing related projects and deliverables; and reporting on program/project health, planning, resource coordination, scheduling, budgeting and execution.

    The VIDD Program Manager oversees an assigned portfolio of programs and projects in support of VIDD. The incumbent will work across the Division on assigned activities as driven by VIDD’s strategic plan. The incumbent will contribute to Division’s strategic plan process, administration, operations and process improvement initiatives. The VIDD Program Manager works autonomously and is expected to use initiative and sound judgment in operating within the framework of organizational, divisional, and programmatic policies and procedures. This position reports to the Senior Operations Director, VIDD.

    Responsibilities

    PROGRAM AND PROJECT MANAGEMENT

    Strategy and Management

    • Develop and grow a program/project management strategy and process for the Division.
    • Establish a Divisional program/project organization structure in collaboration with the Senior Operations
    • Director, VIDD, and manage teams by providing the direction required for meeting the program/project objectives/deliverables.
    • Manage day-to-day program/project activities.
    • Clarify roles, responsibilities and deliverables of external team members and program/project stakeholders.
    • Track status of action items, key performance indicators and follow up.
    • Identify system and technology needs and ensure appropriate systems and reporting are maintained in support of program/project requirements.
    • Facilitate problem-solving and issue clarification between internal and external team members and program and project stakeholders.
    • Track the critical path for programs/projects, analyzing the performance versus plan, report variances and make adjustments consistent with plan objectives.
    • Manage budgets related to assigned programs/projects including cost analysis, forecasting and cost-reduction strategies.

    Execution/Reporting

    • Create work products and program/project deliverables, both independently and under direction of more senior-level team members.
    • Understand and meet expectations for deliverable quality and timeliness.
    • Develop progress/status reports to meeting the needs of both internal and external executive champions, key stakeholders and team members.
    • Responsible for ensuring projects are delivered and completed on time.
    • Develop meaningful metrics to share the story of the project/program and related progress.

    Communication

    • Create and distribute internal and external communications pertaining to critical program/project activities, deadlines, deliverables, and overall program/project progress.
    • Manage communication (compose, edit and deliver written and verbal communications) to and relationships with key program/project stakeholders.
    • Facilitate group discussions.
    • Keep team members and stakeholders appropriately informed of project/program status.
    • Plan for the integration of changes and revisions in practice and communicate the changes as appropriate.

    OPERATIONS AND ADMINISTRATION

    Systems and Documentation

    • Develop strategies and guidelines for online solutions for file/document management.
    • Maintain systems and processes related to programs and projects for VIDD.
    • Develop reporting processes and timelines for measurement of and reporting on key projects and programs within the Division.

    Policy and Fiscal Management

    • Keep up to date with policies and procedures for NIH, regulatory affairs, and Fred Hutch.
    • Develop and maintain streams of communication for related policy changes to the appropriate members of the Division in partnership with the Senior Operations Director, VIDD.
    • Provide fiscal and budgetary analysis and support for programs/projects, as needed.

    Strategic Planning

    • Document and archive the Division’s strategic planning processes and materials.
    • Ensure that programs/projects comply with established regulations, such as IRB stipulations, grant and contract regulations, and UW and Fred Hutch policies and procedures.
    • Research and build internal/external relationships to broaden and incorporate best practices.

    PROCESS IMPROVEMENT

    Process Improvement Leadership

    • Recommend approaches for improvement activities, recommend and perform new processes, collect and measure data, develop processes based on performance, and communicate results.
    • Nimbly respond to requests from stakeholders for process changes and updates.
    • Assist in defining outcomes parameters, designing measurement tools, setting up monitoring systems, gathering data and analyzing outcomes data related to process improvement.

    Qualifications

    Required qualifications:

    • Bachelor’s degree required, with credentials in project management, business, or finance, preferred
    • Minimum of three years of experience in program and/or project management including demonstrated experience in project and program management methodologies and best practices
    • Demonstrated experience in leading meetings for small to medium size teams and driving change
    • Strong financial management skills including but not limited to budgeting and forecasting
    • Self-motivated with strong analytical skills and extreme attention to detail, able to exercise independent judgement and make appropriate decisions
    • Strong computer skills – develop and use Tableau or other BI software, develop and perform complex calculations in Microsoft Excel, create polished PowerPoint presentations and proficiency with a variety of software packages including Microsoft Outlook, Excel, Word, SharePoint, Adobe Pro, WebEx and Skype
    • Excellent verbal and written communication skills, including an ability to understand complex problems and to explore and collaborate on finding alternative solutions.
    • Ability to multitask without loss of efficiency or accuracy and to communicate status of projects to key persons/decision makers on a proactive basis
    • Can-do attitude and desire to be part of a cross-functional and dynamic team

    In addition to the required qualifications, the ideal candidate will have the following characteristics:

    • Training and experience in process improvement and/or Lean methodologies
    • Experience working in a research environment
    • Comfortable working in a fast-paced environment including the ability to perform multiple tasks requested from multiple sources and/or situations requiring speed.
