Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education. Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seeks an Operations Manager, Impact & Strategy. This job reports to the Director of Management & Operations in the Organizing & Electoral Campaigns Department (OEC) of PPFA. The Impact & Strategy Team in the Organizing & Electoral Campaigns Department is responsible for leading strategic goal-setting and impact evaluation of data-driven advocacy campaigns to advance reproductive rights, including electoral and non-electoral campaigns and programs. The Management & Operations Team, under Impact & Strategy, is responsible for providing strategic direction, budget and operational oversight, and management of the department’s operational needs.
Purpose: This position will provide program and project management support to the Organizing and Electoral Campaign department at PPFA/PPAF/Votes, specifically around internal communications, mobilization, event, and retreat planning, strategic budget planning and financial operations, improving systems processes, and direct support to the National Director of Impact & Strategy on departmental management, including and not limited to tracking campaign and team-level goals, building department cohesion around strategy, drafting memos and reports to stakeholders. This position will supervise one operations specialist.
Delivery: ●Manages day-to-day department operations with the Director of Management & Operations and manages one operations specialist who executes essential payments, contracts, budget tracking, and project management to advance department priorities including, but not limited to, organizing and mobilization efforts, state and national campaigns, and c3/c4/Votes research projects. ●Manages operations for critical in-person, hybrid, and virtual program events across OEC in coordination with the Events & Conferences team, program staff, and Planned Parenthood affiliates or partners. ●As part of event operations, responsible for project managing technical support for events, including executing and delegating the following tasks: logistics memos, booking office or external space, agenda creation, on-site/virtual technical support, swag and team/volunteer incentive delivery/tracking, attendee list management, expense reconciliation, and post-event outcomes reporting. ●Creates and manages internal communications and knowledge management processes, including progress-to-goal reporting, calendar management, audience and stakeholder tracking, and recurring reports on department initiatives and impact. ●Provides strategic assistance to National Director of Impact & Strategy on department management including content preparation support for cross-department meetings and meetings with internal and external stakeholders, including affiliates, donors, and partner organizations. ●As part of department meeting management, responsible for preparing presentation and workshop materials, taking notes, synthesizing recommendations and action items, and setting up or troubleshooting internal systems required for facilitation (Google Meet, Zoom, etc.). ●Supports in-person actions in Washington, DC and regional actions on an as-needed basis for key departmental campaigns or mobilizations. ●Executes special projects as requested by OEC senior leadership on a monthly basis.
Engagement: ●Provides coaching and leadership development guidance to operations specialists across the Management & Operations team. ●Improves department processes through analysis, collaboration, and execution with the goal of improving and creating more efficiency in day-to-day operations. ●Collaborates with senior leaders by providing adept experience in project and knowledge management. ●Strengthens communications processes between senior leadership of OEC through meeting prep, centralized documentation, and recommendations. ●Streamlines OEC reporting to PCA’s Office of the Senior VP through consistent maintenance of OEC Lookahead, OEC senior staff and team meeting summaries, the introduction of departmental recognition, and highlights.
Knowledge, Skills, and Abilities (KSAs): ●5 years of professional experience directly related to project management and operations, including extensive use of Google Drive and Microsoft Office. Preferred experience in electoral or issue-based campaign operations management or nonprofit entities with c3, c4, 527 structures ●Bachelor’s degree preferred ●At least 2 years of experience managing staff and interns preferred ●Extremely organized and detail-oriented ●Skilled at creating systems with exceptional project and knowledge management experience ●Ability to manage sensitive information ●Adept at taking in information from various sources and organizing it to move work forward with a solutions-oriented approach ●Independent and proactive, able to take initiative ●Team player who enjoys working with cross-functional teams ●Comfortable asking questions ●Strong project management skill set, including rigorous attention to detail, diplomatic and multi-layered approach to communication, and perseverance in troubleshooting administrative barriers and meeting time-sensitive deadlines in a fast-paced environment ●The ideal candidate learns quickly, prioritizes instinctively, and exercises strong judgment in situations involving sensitive information or multiple internal and external stakeholders ●Demonstrated investment in Planned Parenthood’s mission, racial and gender equity, and the importance of patient-centered health care and advocacy ●Previous experience as a Planned Parenthood staff member or volunteer leader is highly valued
Travel: 0-25% domestic $83,000 - $91,000 a year Total offer package to include generous vacation + sick leave + paid holidays, individual/family provided medical, dental and vision benefits effective day 1, life insurance, short/long term disability, paid family leave and 401k.
