Job Description

The Contracts Specialist serves as a business and legal professional who oversees the creation, negotiation, signing and enforcement of business contracts. Their primary responsibilities include preparation of client contracts, negotiation of contract terms with internal and external partners, and the review and and updating of existing contracts. Responsibilities also includes the explanation of terms and conditions to managers and other interested parties. The incumbent also analyzes, develops, and/or maintains associated contracts reporting for the Company. This role is essential for ensuring that all company contracts are fair, legally binding, and conducted in the best interests of the organization. Duties are performed with guidance from a company attorney (as needed), as well as support from corporate and recruiting management (as needed).

ESSENTIAL FUNCTIONS

  • Follow the established company policies and procedures regarding contract administration.
  • Partner with Senior Leadership and legal resources regarding the contracts business process.
  • Ensures staff compliance with contract processes and procedures.
  • Manages the storage, organization, and retention of client contracts within a database.
  • Reviews, redlines and negotiates contracts with clients in partnership with the sales and recruiting staff.
  • Acts as a liaison with the sales and recruiting staff, internal stakeholders and external stakeholders for client contracts requirements, and resolutions.
  • Analyzes potential risks involved with client agreements.
  • Partners with the Legal Department for the interpretation and definition of contract terms to avoid claims and disputes.
  • Partners with Risk Management Team for the assessment of temporary placement contracts at clients and coordinates gathering appropriate insurance and worker compensation coverage evidence.
  • Serves as primary resource for ensuring the contracts process within the company's proprietary Applicant Tracking System is accurate and supports the business.
  • Ensures that the technology used for contract management is effective, and troubleshoots any systems issues in conjunction with the with the IT Product Team.
  • Assists with the DocuSign process as needed.
  • Partners with the Accounting & Finance Teams for the establishment of certain client contracts including contractor placements .
  • Partners with the Learning & Development Team to create appropriate training related to the contracts process for the recruiting and sales staff.
  • Partners with the Marketing Team to ensure resources and materials related to contracts are available and understandable for the sales and recruiting teams.
  • Responds to client questionnaires, vendor forms, and ACH setups, etc.
  • Assists with internal audits as needed.

QUALIFICATIONS

EDUCATION

  • High school diploma or equivalent required.
  • Associates or Bachelor's degree in business administration, paralegal studies, law, or a related field or equivalent experience preferred. EXPERIENCE
  • Two (2) years' contract experience required.
  • Experience with business language and contract terms required.
  • Experience in the Staffing/Recruiting Industry with demonstrated knowledge of industry terms preferred. SKILLS & ABILITIES
  • Demonstrated ability to work with information systems and to call out technical problems (to be resolved with support from IT resources as needed).
  • Demonstrated ability to work with minimal supervision in a fast-paced environment.
  • Ability to maintain regular attendance and work all hours required (within company policy).
