This role requires highly-developed interpersonal skills, a friendly and helpful demeanor, and a solution-oriented approach. Based in Menlo Park, the Senior Executive Assistant will report directly to the Executive Head of Legal and support additional Senior People leaders within GRAIL. This position requires a high level of discretion and confidentiality with ability to manage relationships both internally and externally.

You will:

    • Exercise discretion and sound judgment in a diversity of C-suite Level matters, while maintaining the highest levels of confidentiality with impeccable written and verbal communication, administrative, and organizational skills,
    • Ability to maintain a realistic balance among multiple priorities, with a knack for establishing strong relationships
    • Multitask efficiently; excelling at synthesizing and coordinating multiple communications in a fast-paced and dynamic environment
    • Actively manage the calendar, meetings, and priorities
    • Comfortable with external communications
    • Remain calm under pressure with exceptional attention to detail

    • Support Head of Legal and other senior executives, actively leading and optimizing their complex calendars across multiple time zones.
    • Provide support with legal documents, records, agreements, discovery, pleadings and correspondence documents; including proofread documents and processing of incoming legal documents
    • Manage onsite and electronic legal filing and recordkeeping.
    • Coordinate and arrange domestic/international travel, prepare expense reports, coordinate team meetings, events and off-sites
    • Communicate with external counsel and business stakeholders.
    • Help manage contracting and budgeting administrative processes, including supporting budget, purchase orders, invoicing and contract requests
    • Take an active role in creating administrative and operational process improvement to ensure efficiency where needed.
    • Help draft and prepare correspondence for internal announcements and organizations with which the executives are involved
    • Acts as a liaison and trusted partner for assigned executives relaying and exchanging information with others including: Senior leaders, customers and clients, and other cross functional organizations or colleagues.
    • Prepare Word, Excel, PowerPoint presentations, agendas, reports via G Suite, special projects, and other documents in support of objectives for the organization.
    • Actively participate in staff meetings, take meeting notes, assist in following up with action items

Your background will include:

    • 10+ years of experience in executive admin support, Legal Assistant/Paralegal or combination of B.A./B.S. degree with relevant experience supporting C-Suite executives, law firms or corporate legal department
    • Paralegal Certificate from an ABA-Approved program; a plus, but not required.
    • Strong business sense and can decipher priorities and make sound judgment calls when needed
    • Preference: Working knowledge of legal terminology and office procedures.
    • Excellent communication skills with the ability to build effective internal and external relations; impeccable attention to detail, project management, prioritization and organizational skills.
    • Ability to quickly learn and implement new procedures, software, and technologies.
    • Commitment to excellence. Performs duties at the highest level possible on a consistent basis.
    • Positive “can do” attitude with a strong desire to roll up sleeves.
    • Experience with Google Suite or other cloud based office programs.
    • Experience maintaining confidentiality, addressing sensitive information with a high level of customer service
    • Start-up experience in a company that has scaled quickly, a plus.
