Project and Administrative Senior Specialist to support the Board Programs and Investment department of PPFA. This job reports to the
Vice President, Board Programs and Investment within the
Federation Engagement and Impact division
. The Federation Engagement & Impactdivision ensuresthat the Federation, made up of 49 affiliates operating 600+ health centers in all 50 states and the National Office, is collectively working together to fulfill its mission of maximizing access to equitable, sustainable, and expanded delivery of Planned Parenthood’s high-quality health care and education, especially for patients who face the greatest barriers .
Purpose : The Project Specialist will provide approximately 40% of their time on administrative and budget related tasks, and 60% of their time on project-based work.
Delivery : Administrative and Project support: ● Supports Vice President, Board Programs and Investments by: ○ Providing ongoing administrative support and troubleshooting throughout the day. ○ End-to-end coordination of meetings and commitments, including logistics and meeting preparation including working with VP on developing presentations ○ Working with colleagues in the division to prepare Board related materials and relevant documentation in advance of meetings. ○ Documenting meeting notes and action items when required. ○ Handling the monthly reconciliation, pay order process and inputting of budget into the Finance system during the annual budget process ○ Keeping departmental resources current including one-pagers, presentations, org chart, and handouts on active projects. Will require regularly connecting with other department leads and updating current and planned work, goals and objectives within these resources. ○ Performing other related administrative duties as assigned. ● Creates spreadsheets and analyzes data within Excel to support program review and project evaluation ● Drafts and edits project-specific materials in support of Federation learning and best practice sharing on Federation wide activities funded by the PPFA Board of Directors ● Provides regular updates on current projects by gathering information, including financial information, from project leaders, prompting them for any necessary actions and documenting progress. ● Assists in the preparation of updates for Board, CEO and other leadership teams and stakeholders. ● Works with the Director of Communications within the division to create and manage internal and external communications ● Provides appropriate direction and follow-up to internal and external parties about Federation project opportunities. ● Manages collection and organization of funding requests related to Federation projects in support of organization wide strategic goals ● Ad hoc projects as they arise This position should demonstrate intercultural competence and ensure all work products consider the impacts of the work on multiple communities, including communities of color and individuals with different gender identities and socioeconomic backgrounds.
Engagement: This position will work on several cross-divisional projects and will build key relationships across the National Office to be successful. They will be required to take direction from different project owners. He/She/They will also work extensively with affiliate staff and outside vendors.
Knowledge, Skills and Abilities (KSAs): ● 3 years of experience directly related to project coordination and administrative support. ● Bachelor's degree or equivalent experience. ● Excellent oral and written communication skills. ● Able to handle multiple, concurrent projects and ensure completion of all components with guidance. ● Ability to recognize and respond to problems with potential solutions in a highly professional, confidential and sensitive manner. ● Strong interpersonal skills. ● Excellent analytical skills with sharp attention to detail and the ability to meet critical deadlines. Excel proficiency a plus. ● Collaborative work style; able to facilitate amongst diverse communities and individuals ● Self-directed and can work alone or in a team. ● Deep appreciation for the mission of PPFA. ● Takes initiative, can operate in a fast-paced environment with competing demands. Ability to be resourceful and willing to try and learn. ● Adaptability, including teamwork and flexibility, needed to fulfill job responsibilities, adapting to changes in work environment and accepting supervisory feedback. ● Knowledge of and sensitivity to different racial/ethnic and socioeconomic backgrounds, and people with different gender identities, cultural differences and disabilities. ● High proficiency in Google products.
TRAVEL : 0-10%
Starting salary: $70K #LI-SY1 Final offers for this job will be based on capabilities and will be made within the parameters of the PPFA compensation program.
