Job Description
The Office Administrator is an essential on-site role, which will provide general administrative support for our team members at our physical office locations and ensure smooth operations of our offices. The Office Administrator will create a positive employee experience by thoughtfully managing our office space, acting as a helpful point of contact at reception, and ensuring supplies are stocked and accessible and that the office space remains clean and professional. This role will work as part of the HR team, reporting to the Facilities and Compliance Manager and will be the first point of contact for any employee or maintenance issues.
Duties/Responsibilities:
- Provide administrative support for designated office location.
- Greet team members and visitors at reception, and be available to answer questions or assist as needed.
- Answer phones and route messages to the correct person
- Handle ingoing and outgoing mail/deliveries.
- Ensure office space is tidy and maintained.
- Acts as first point of contact for maintenance issues, submit maintenance requests, and see through to completion.
- Manage office supplies, and food & beverage ordering within a budget.
- Assist with coordination for in-person events (exec visits, all hands/board meetings, team events etc).
- Manage employee/guest access cards
- Help administer RTO (Return to Office) policies and escalate to Facilities Manager or HR team where appropriate.
- Execute safety and emergency response protocols.
- Provide feedback to the Facilities and Compliance Manger team on areas of safety concern.
- Will assist in record keeping and tracking of compliance related materials. Ex. OSHA, ADA
- Assist with scheduled trainings to cover emergency procedures, workplace safety, and other relevant topics.
- Maintains confidential records, documentation, and files, of incident reports to be recorded by the HR team where necessary.
- Maintain a high level of confidentiality at all times.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Basic understanding of how to operate standard business equipment.
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- Associate degree in office administration or related field required, higher degree preferred.
- A minimum of three years of administrative or office management experience is preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- This position is office based and is considered an essential on-site role.
- Must be able to lift up to 15 pounds at times.
