As a Talent Acquisition Operations Specialist at FreshBooks, you will work with the growing Talent Acquisition Team here in EMEA. Reporting to the Talent Acquisition Manager for EMEA, you will share responsibility for managing our Talent Acquisition systems with your counterpart in Americas, and will own the maintenance and creation of EMEAs-specific team processes and documentation, along with providing operational support. It’s through your partnership with the Talent Sourcers and Recruiters that we’ll continue to expand the FreshBooks footprint in EMEA, allowing us to continue building for Business Owners around the world.

What you’ll do as a Talent Acquisition Operations Specialist

Systems Ownership and Process Improvement

  • Act as point of contact for the organization regarding Greenhouse ATS & Gem configuration, updates and troubleshooting
  • Aid in implementation, configuration, and tuning of new TA Tech
  • Facilitate Talent Acquisition procurement process with 3rd party vendors (ie Agencies) and maintain up-to-date list of preferred vendors for each department
  • Point of contact for all talent acquisition audit and compliance requests and educate team on hiring and selection legal and audit requirements
  • Work in conjunction with Talent Acquisition Leadership to lead Talent Acquisition operational projects
  • Assist the Talent Acquisition Manager and Talent Acquisition team with additional operational tasks as needed

Reporting

  • Update the New Hire sheet, shared Jira board to reflect headcount and hiring updates
  • Work with Talent Acquisition Manager and Director to improve data integrity in Greenhouse, to reflect stronger reporting outcomes in Gem

End stage process

  • Work with Talent Operations and legal counsel(s) to ensure that FreshBooks employment contracts are up-to-date and reflective of the many geographies in which FreshBooks hires currently or in the near future
  • Act as point of contact for relocation processes or employment via Employer of Record arrangement
  • Maintain and update Docusign process & templates for Talent Acquisition
  • Review and escalate new hire background checks according to internal Standard Operating Procedures
  • Issue offer letters and contracts in support of Talent Acquisition specialists

Onboarding

  • Add new hires to our Talent Acquisition and HR systems as part of the onboarding process, including Signature Satori, Pingboard, and Lever ATS
  • Create departmental onboarding packages for new FreshBookers

Knowledge Management

  • Manage the shared resources folder for Talent Acquisition
  • Manage process updates in the TA Operations Playbook and organize Hiring Manager & Interviewer training on all TA processes and systems

What you’ll bring to the role

  • 3-4 years of experience in a corporate environment
  • 2+ years of Human Resources, Talent Acquisition, or HRIS experience
  • Has a passion for process improvement
  • Experience administering HR systems highly preferred (ATS, HCM, LMS)
  • Great communication skills (written, oral, and recordings)
  • Able to work independently being held accountable to measurable outcomes
  • Strong problem solving skills and tenacity to determine root causes of potential system issues
  • Customer-service and builder mindset
  • Able to keep confidential information
  • Energetic person who can keep new hires engaged
  • Someone who fosters stronger internal relationships
