About the Team

About the Position:

We are currently seeking to fill the position of Administrative Assistant at Quality Planning (QPC), a business unit within Verisk, in the heart of downtown San Francisco. The ideal candidate is extremely dependable, organized, detail oriented, and has exceptional communication and time management skills, and always focuses on providing excellent customer service.

Duties & Responsibilities:

  • Administrative Support
  • Greet guests and provide assistance as needed
  • Organize and schedule staff meetings and townhalls, including ordering meals and refreshments
  • Assist other remote offices with administrative support as needed
  • Receive and distribute mail and packages
  • Answer incoming calls on main line and take appropriate actions as needed
  • Maintain office calendar and staff directory
  • Coordinate new employee set up and provide new hire orientation and tour
  • Assist with employee departure from Verisk as needed (workstation clean up, collect badge/keys, final commuter checks, etc.)
  • Organize and execute monthly teambuilding activities to budget
  • Improve on current process and procedures
  • Develop and maintain documentation
  • Code invoices for processing
  • Process corporate credit card purchase requests
  • Prepare coding and accruals for corporate credit card and month-end reconciliation
  • Process petty cash and Commuter Check benefits disbursements
  • Keep tidy and maintain reception area, break rooms, conference rooms, and other collaboration and communal spaces
  • Assist with ad hoc projects and requests
  • Facility Maintenance & Operations Support
  • Coordinate with building management and communicate to staff on maintenance, repairs, cleanliness, and other misc. operational issues
  • Maintain copy and break room inventories and supplies by ordering replacements
  • Coordinate maintenance of office equipment (HVAC, printers, water filters, document shredding, etc.)
  • Coordinate break room clean teams

Qualifications

  • 1-5 years' experience in an administrative role
  • High school diploma; associate’s or bachelor’s degree in business, administration, or related field preferred
  • Excellent verbal and written communication skills
  • Detail oriented and well organized
  • Ability to juggle multiple projects and many priorities in a fast-paced environment
  • Must be able to work in office environment as this is not a remote work position

The ideal candidate:

  • Is a total team player and has a can-do attitude
  • Is extremely organized with a strong attention to detail
  • Has exceptional administrative skills with the ability to multi-task
  • Is willing to wear multiple hats and pitch in wherever needed with a service-oriented attitude
  • Has a naturally accommodating, attentive, and positive personality
  • Has the ability to make sound judgments without supervision
  • Has excellent typing, proofreading, grammar and spelling skills
  • Has experience with Microsoft Office suite (Outlook, Excel, PowerPoint, and Word)

Compensation:
Salary commensurate with qualifications. Benefits include medical, dental, vision, short and long-term disability insurance, life insurance, flexible health and dependent care spending accounts, commute assistance, 401(k), and Paid Time Off (PTO).
