Description: Provide administrative support to a Vice President. Prepare presentations, reports and complex correspondence on a variety of issues. Anticipate business needs and handle urgent and confidential matters. Organize requests and allocate time to prioritize work. Respond appropriately and make commitments on behalf of the executive. Coordinate leadership meetings, retreats and special events. May act as resource for budget, payroll and human resource issues for the department.
Essential Responsibilities: Coordinates complex projects and all aspects of leadership meetings, retreats, travel arrangements, and special events. Creates agendas, distributes documents, coordinates guest presentations, manages project costs, timelines, equipment needs, makes recommendations, takes minutes, and drafts meeting summaries. Also may establish and maintain systems to support timely follow up and implementation of leadership assignments and decisions. Manages calendar, communication, and correspondence. Independently anticipates business needs, organizes and triages requests, and allocates time accordingly to enable the accomplishment of priority work in the face of multiple demands. Identifies and independently resolves conflicts. Assures timely response to internal and external customers; represent executive's interests and perspective to those customers. On own authority, responds and makes commitments on behalf of the executive. Also may coordinate and represent divisional interests in community, charitable, or academic activities. Prepares presentations, reports, newsletters, and other complex correspondence on a variety of issues, for both internal and external audiences. Complete ad hoc projects and research on confidential matters. Interfaces with high level internal and external contacts, which requires in-depth knowledge and understanding. Provides service recovery and may author responses to consumers, staff , or vendors by telephone and e-mail. May manage the budget, payroll and HR issues for the department. Basic Qualifications: Experience
Minimum five (5) years of senior-level administrative experience. Education
Bachelor's degree OR a minimum four (4) years of experience in a directly related field. High School Diploma OR General Education Development (GED) is required. License, Certification, Registration
