About the Role We’re looking for a full-time and proactive Office Experience Manager to join our Houzz team in Berlin. You will be integral in maintaining the culture and operations of our office and will support our growing company through a blend of office operations and administration. You see what needs to be done and make a plan of action, then see it through to completion! You must be able to thrive in a busy, fast-paced environment and recognise all facilities-related issues, work in a professional manner and be able to multi-task between several projects while maintaining a cheerful and fun attitude . You thrive on interacting with people and understanding their needs in order to continuously improve the office environment for increased productivity. Your every-day goal is to take care of the well-being of our team by monitoring the office space and maintaining equipment, office consumables, service delivery and suppliers, organise welfare activities and events. The ideal candidate is a natural self-starter with strong organisational and problem-solving skills, but also one that enjoys interacting with people and provide support and services to both employees and management.
What You’ll Do
- Ensure the office runs smoothly on a daily basis by supporting all office functions in a fast-paced environment
- Ensure our office environment is healthy and safe
- Be the first point of contact for Houzz employees & guests
- Direct and train our receptionist and office support team
- Build our office culture through relationship building and creative problem solving
- Liaise with many different external and internal stakeholders and team members, including people who work in other offices, people in leadership roles, vendors and more
- Organise different welfare activities like Healthy at Houzz (e.g. exercise or mindfulness related activities for Houzz employees) birthdays, work anniversaries, Christmas party and other special events
- Manage office management budget and ensure it stays within limits. Ensure clear communication of office related expenses to our finance and accounting teams
- Clear communication and tracking of Berlin office related cost and invoices. This requires to work in partnership with our accounts payable team and finance team
- Work closely with the IT systems team to handle equipment procurement, inventory, equipment setup as well as employee's on-boarding
- Work closely with our IT Systems Engineer and People Services and Finance teams
At a Minimum, We’d Like You to Have
- Fluency in English and German
- Experience improving efficiency and productivity in an office, event planning & logistics
- Strong interpersonal skills - you love being of assistance and putting a smile on peoples’ face - for you, there are no problems, just challenging situations that you happily tackle
- Ability to multi-task and adapt to new situations
- Excellent verbal and written communication skills - easily able to talk to people in person, over email and on the phone
- Ability to adapt quickly to changes, work independently and interact with many internal and external stakeholders
- Ability to function well with autonomy and sound judgement - you will be required to take initiative and action and work within an international office management matrix organisation
- Superb organisational skills and an attention to detail
- Professional, customer centric, positive, proactive and solutions-focused attitude
- Full proficiency in MS office suite and Google applications
Ideally, You’ll Also Have
- Comfort working in a tech-centric environment
- Experience in providing administrative support in a startup or high-tech environment is a strong plus
- Experience in global organisation is a big advantage
