To help our rapid growth, we are seeking a stellar Executive Assistant to support (2) Senior Vice Presidents as a strategic partner at our San Francisco Headquarters!
KEY RESPONSIBILITIES
- Calendar & General Administrative support for our SVP People & SVP Marketing and Communications Strategy.
- Prioritizing the efficiency of the executive’s time and bandwidth; enforcing communication and meeting/agenda preparation standards.
- Ownership of all domestic and international travel preparations, including but not limited to; mapping full itineraries, obtaining visas or other documentation, air/ground transportation and lodgings.
- Liaise with other teams within the company and external parties to ensure efficient workflow and handling of internal requests and processes.
- Compile, organize and submit all receipts and expense reports.
- Tracking, filing and organized management of all documentation (contracts, NDAs, etc) through the correct internal channels.
- Executes on special projects such as platform integrations and development of in-house training programs.
- Reports to and collaborates closely with the Executive Operations Lead (Admin Manager).
REQUIREMENTS - 3 to 5 years of experience supporting VP, SVP and C-Suite Executives in a fast paced environment.
- Highly proficient with Google Calendar and all apps within G-Suite.
- A self-starter; must be comfortable with autonomy and/or a lack of direction, as well as speaking up when needed to make sound decisions.
- Outstanding communication, high EQ, attentive to detail, and strong organizational skills.
- A strong sense of humility, curiosity, and adaptability under pressure.
- Growth mindset, never settling for the status quo, constantly seeking improvement.
- High level of confidentiality, discernment, and judgment.
- Proven track record of strong execution & ownership; project management, history of special projects and/or company initiatives.
- A college degree is preferred, but not required.
